In order for College of Engineering (CoE) outreach programs to utilize CAEN computing services, the program coordinators must give advanced notice to CAEN staff and work with them to reserve labs, assign computing accounts, and ensure that all other computing needs are met. This document will serve as a guide to the services CAEN provides to programs on a free-of-charge or for-fee basis, the process whereby these services can be provided, and the restrictions placed upon them.
Note: All users with access to CAEN resources are subject to CAEN policies and regulations. These policies are outlined in the CAEN Conditions of Use.
CAEN Account Eligibility
CAEN computing accounts are provided free-of-charge to all regular CoE faculty, staff, and students. For the most recent information concerning CAEN account eligibility, visit the following web page:
As noted on the above web site, CAEN services are not provided free-of-charge to non-Engineering affiliates (those without an appointment in Engineering as verified by MAIS) or to most non-Engineering students. However, Engineering outreach program attendees are treated as visitors of the College of Engineering, and accordingly will receive access to certain CAEN resources free-of-charge. Access to these resources will be restricted, however, and these limitations are listed below.
Limitations of Program Accounts
The primary purpose of CAEN's computer labs is to support the educational goals of currently enrolled, tuition-paying Engineering students. Thus, limitations are placed on visitor access to these facilities to ensure that these primary users have uninterrupted access at all times. Access to CAEN facilities must be explicitly requested by an individual, such as the program counselor or coordinator, responsible for the program attendees. This individual (who requests the program accounts) must first make sure the a CAEN lab is available in advance by submitting a lab reservation request.
Unlike a typical CAEN computing account, program accounts will be assigned generic usernames. These usernames will be recycled periodically and will only remain active for the duration of the program. Any program attendee who needs CAEN account privileges beyond this period of time must be re-issued a new program account when the first expires.
No email services are provided with these accounts. Program attendees will need to provide the program coordinators with a non-U-M method of email contact.
These generic accounts will grant access to CAEN computers only. Access may or may not be granted to the resources of other campus computing providers, such as ITCS. If access to non-CAEN resources, such as Duderstadt Center printing, is required, this must be arranged with the respective computing organization.
When an account is initially assigned to a program attendee, it will be set to expire automatically on a date not to exceed six weeks from the date of issue. It is the account-holder's responsibility to save any data stored in the account before it expires, at which time any files or data remaining will be irretrievably destroyed.
How to Obtain Program Accounts
To obtain accounts for program attendees, at least seven business days' notice must be given to the CAEN Hotline (more notice is preferred, please). The Hotline requires the full names of any program attendee using CAEN resources, as well as the UM ID # (also known as EmplID, EntityID, or Mcard ID) the user has been assigned. The expiry date of the account must also be provided in the format specified below and should not exceed six weeks from the program's start date. This information should be provided in electronic format, as tab-delimited text, in the following order:
-
UM ID # (Please give as 8 digits with no separators, i.e. no dashes (-) or spaces)
-
First Name
-
Middle Name*
-
Last Name
-
Account Expiration Date (format as <two digit day><dash><three letter month abbreviation (all upper-case)><dash><four digit year> For example, DD-MMM-YYYY or 05-AUG-2007)
*Note: If no middle name is given, you must add a blank space in place of this value. For example:
<UM ID #><tab><First Name><tab><Middle><tab><Last Name><tab><Account Expiration Date>
So, three rows of such a file would appear as:
12345678 Jonathan Jacob Doe 05-AUG-2008 87654321 Jane Smith 05-AUG-2008 24681012 Joe B User 05-AUG-2008
Note: Because the UM ID # field is not optional, users must be assigned a UM ID # prior to consulting the Hotline.
Save the above information into a text file, and attach it to an email to the CAEN Hotline at caen@umich.edu. The Hotline will only accept the above information from program coordinators, and only in the above order and format. Random usernames and passwords will be assigned on a one-to-one basis for each user and an information sheet will be provided for each user's account with related information. This information will only be given to the coordinator who sent the original request.
To coordinate the delivery of the above information, or if you have questions regarding this document or the services CAEN provides, contact CAEN.
Reserving CAEN Facilities
For the most up-to-date information regarding CAEN procedures for reserving and utilizing CAEN labs and facilities, visit the following web page:
Access to Other Computing Resources on Campus
CAEN provides only the resources described above. If program attendees require access to resources beyond what CAEN provides, the organization which sponsors the program must contact those responsible for that service directly. For example:
-
If program attendees require access to ITCS computers, printers or labs, the program coordinator must contact ITCS. Note: Printers in the Duderstadt Center are also owned and operated by ITCS:
-
If program attendees require access to computing resources or network connections in the residence halls, the program coordinator must contact Residential Computing (ResComp):
-
If program attendees require access to any other resources, computing or otherwise, for which CAEN is not responsible, the program coordinator must contact the organization responsible for that resource.
