Bulletin Memorandum

MEMORANDUM

TO: Curriculum/Bulletin Coordinators

FROM: Jeanne P. Murabito, Executive Director for Student Affairs

SUBJECT: 2009-2010 Production of CoE Bulletin

We have begun the 2009-2010 production of the CoE Bulletin. We are asking for your assistance in reviewing all of the current content, in order to ensure that this year's Bulletin is accurate. We will continue to use the Footprints tracking system to facilitate a timely and organized response of all edits and requests. During the 2008-2009 academic year, many departments submitted edits to the Bulletin editors and changes were made immediately; we appreciate your work over the course of the year to keep the online version of the Bulletin current. You may submit edits to coe-bulletin@umich.edu at any point during the year for immediate changes to be made to the current online version of the Bulletin.

Editing in Microsoft Word

As we have in the past, we will be using Microsoft Word as the mechanism to submit bulletin changes and feedback. It is the most user-friendly editing software and the special tracking feature proved most beneficial. Please note that the sections you receive will have the tracking feature turned ON. The "track changes" feature is left on to facilitate clear and concise notation of where the changes have been made to the original text. We recommend that you double-check that the Word tracking feature is on - use the "Tools" menu on the top menu bar and click "track changes". The reviewing toolbar should pop up if the track changes feature is on.

Footprints - Edit Tracking System

This year, it is important that you submit edits and all correspondence regarding the Bulletin to coe-bulletin@umich.edu in order for it to be entered into Footprints, the tracking system. This system allows the Bulletin Team to keep track of all requests, edits, questions and issues we receive from individuals throughout College.

Submitted sers' edits, questions, feedback, and/or suggestions submitted are processed and recorded into the system and issued ticket numbers. When a request is submitted, the person submitting the request will receive a confirmation email, along with the request's issued ticket number. Using ticket numbers, the Bulletin team can track what is closed, pending, or needs follow up.

It is important that you submit all correspondence regarding the Bulletin to coe-bulletin@umich.edu, in order for it to be entered into the system.

Deadlines

Units need to submit their first round of edits by Monday, March 9, 2009. The edits must be submitted electronically to coe-bulletin@umich.edu. This is only the first of two rounds of edits. Please submit the edits you have at that point. We encourage you to pay attention to areas including: text accuracy, names, titles, dates, colleges/depts., addresses, telephone/fax #'s, email addresses, web site addresses, and the overall look and feel. Curriculum changes passed by the Curriculum Committee have been edited throughout the year. 

The second round of edits is due March 27, 2009.   The purpose of having two editing rounds is to split the bulk of edits units submit, as well as allow you to make sure that all of the edits submitted have been completed to your satisfaction. 

Changes not submitted by 5pm on Monday, March 31, 2009 WILL NOT be included on the 2009-2010 Bulletin CD.

Final Curriculum Committee/Faculty Meeting of the Year


All course approvals/deletions and modifications approved by the Curriculum Committee have already been updated online. The final meeting is Tuesday, March 31, 2009. The final course decisions that passed will be forwarded to the Bulletin team and updated online shortly thereafter. This is standard procedure and will allow you to concentrate on other areas such as: text accuracy, names, titles, dates, colleges/depts., addresses, telephone/fax #'s, email addresses, web site addresses, and the overall look and feel.
